Office Cooridinator

DUTIES AND RESPONSIBILITIES

 

DAILY TASKS:

  • Open office punctually M-Th 10:00 am – 2:00 pm, and Friday 10:00 am – 1:45 pm.
  • General receptionist duties—greeting congregation members, visitors and others, responding to queries via telephone, email or in person
  • Act as public relations liaison for the church
  • Process incoming and outgoing mail including church-wide mass mailings
  • Perform clerical tasks including filing, preparing documents and photocopying
  • Maintain subscriptions and distribute congregational communication and correspondence
  • Maintain a tidy, organized and welcoming office.
  • Other duties as assigned

 

WEEKLY TASKS:   

  • Plan and coordinate calendars for both the church and the pastor
  • Prepare bulletins for worship services
  • Prepare any weekly announcements (including birthdays, anniversaries and prayer requests or other notable events of the week) to be added to the service bulletin
  • Prepare monthly notification to congregation of updates to members’ phone numbers, email addresses, addresses, etc.
  • Produce PowerPoint announcements for display during services when screen is utilized
  • Publish a Monthly Newsletter for the first Sunday of each month
  • Assist the Church Treasurer with accounts payable functions such as filing of invoices and payment vouchers, maintaining appropriate records
  • Maintain an inventory of office supplies and assist with purchase orders from various church committees
  • Other duties as assigned

 

AS-NEEDED TASKS:

  • Interact with all church boards/committees as required
  • Record and submit expense and mileage reports to Treasurer on behalf of Pastor and Board or committee members
  • Distribute church funds as directed by the Church Treasurer and Board of Finance
  • Other duties as assigned

 

ACCOUNTABILITY

 

This position reports directly to the Pastor of the Congregation. In the even to his protracted absence, the position will report to the President of the Congregation’s Executive Council.


COVID-19 Considerations

  

Our church is dedicated to following all guidelines from the CDC, OHA and our Governor to keep our members, staff and the community safe. We adhere to a strict cleaning and sanitization regimen for all contact surfaces. Hand sanitizer is available throughout the church and office. Masks are required wherever more than one person is present when physical distancing of 6 or more feet is not possible.
